Introduction To Effective Prompt Writing



Key Elements When Prompting In BizGPT


Good search prompts are specific and focused,
Bad search prompts are too general and may yield irrelevant or low-quality results. Good search prompts use keywords that are likely to produce relevant and current information about the topic, while bad search prompts are too broad and lack specificity. 


For example, when writing a business report on the status of your industry, it's important to formulate clear and specific search prompts that will help you find the information you need to analyse and report on the current state of the industry as outlined next.

The Difference Between BizGPT and ChatGPT prompting
Unlike global AI chat tools, when using MyCAT in BizGPT you only reference the data in your catalogue and not billions (or trillions) or random files provided by the supplier. This means effective prompting is more important than ever to ensure you get accurate results.


The Three 3 Elements To Prompting


1. Context: The context of the question is critical in a business setting. For instance, if you ask the AI, "What's the ROI?", it won't know which specific project or investment you're referring to. But if you provide the context, such as "What's the ROI for our digital marketing campaign in Q2?", the AI can provide a more accurate answer.  Include who the response is being targeted toward and the sender.


2. Detail: Detail is equally important. For instance, if you ask the AI, "How to improve sales?", you might get a generic answer. However, if you ask, "How can we improve sales in our Southeast Asian markets for the XYZ product line?" the AI can provide a more specific and useful strategy.


3. Style of Output: The desired format or style of the answer is also essential. For example, if you need a brief overview of a business report, you could ask, "Provide a summary of our Q3 financial report." If you need a comprehensive analysis, you could prompt, "Provide a detailed analysis of our competitors' market strategies." Include actual style such as "Provide the answer in bullet points"

An Example in practice from a BOT containing all the information about your company: 
(Bracket represents element - do not add to your prompt)

(1) My name is Anna Jones, the CEO of Jones & Co, a law firm specialising in commercial law. (2) Write an introduction letter to a prospective business client called Andrew Smith in the construction industry highlighting the top 4 elements we work on to protect them from potential law suits arising from workplace accidents. (3) Present the response in a business like manner without hyperbole, using bullet points to highlight the key points. (4) Include a conclusion inviting Andrew to book in an online meeting to discuss these risks.

Other considerations
These might include the tone of the response (formal for business communications), Example: "Present the answer in a business like tone without hyperbole.",  the intended audience (executives, team members, stakeholders), and any specific perspective you want the AI to consider (e.g., from a sales, marketing, or financial point of view).



Short vs Long Prompts - Size Does Matter!

The Short Prompt
When you require a simple, short answer short, concise & clear prompts can work. Short prompts are most useful when building small pockets of information as a part of larger projects such as proposals and reports. You can even tell the chat the maximum response size you want.

Example:  List the total income and net profit figures only for Company XYZ in the 22-23 financial year. Limit response to 50 words.

The Long Prompt - More Context Is Better
Refer to the 3 Elements above whenever possible.  Additionally, you can add previous search results into your prompts when you change models or bots.  For instance, you may use bot A to query one set of folders, then use the result of this search when querying another folder set.  Just paste the chat results to notes then add to your new query.


Tips For Successful Prompting in BizGPT

  • When creating a prompt, try to avoid using the word 'and'. Using 'and' actually increases the number of queries of the bot and reduces the specificity of the query.
  • Add in line breaks by using shift and enter on the keyboard if you need additional lines of chat. You can use multiple sentences, eg Provide a summary of the key points (shift enter) Provide the list in bullet points.
  • Use specificity in your queries. 
  • Just because the bot doesn't return the correct information in a chat query, doesn't mean the bot doesn't have access to the data. Try rephrasing your prompt or adding additional specifics.


More tips for prompting


1) Give examples

Utilising examples will help the bot to format data for you. Using the prompt of example: and providing a sample for the bot will allow it to calculate an output. 


Example:


Input: 2024-18-03T15:30:00Z


Add 3 days and convert the following time stamp into MMM/DD/YYYY HH:MM:SS format 


Output: Mar/18/2024 15:30:00


Input: 2027-09-08T16:12:03Z


Output:


The bot will take the provided example and using the data formulate the output. In this way, you can generate output for chatfiles, or your MyCAT data as well as generalised ChatGPT searches.


2) Tell the bot the length of the response

When having a bot craft a response for you, it is helpful to provide a word count or length of the desired response. As an example, you could say please provide a response on (your query) in a paragraph. Or in 500-700 words. Or in one sentence. 


3) Ask the AI bot to help generate a prompt

If you provide the bot with a framework of your query with as much specificity as possible, you can utilise the bot as a brainstorming tool to assist with generating potential prompts you may not have considered. For additional information on this workflow please click here to learn more.


4) Utilise common expressions

By utilising common expressions in your prompts such us 'let's think step by step' or 'as a [role]' can assist in the response generated from your query. Some additional examples include:


  • As a [profession]
  • Thinking backwards
  • In the style of [famous person]
  • In the style of [language type or period of language]
  • Explain this topic in language a [insert year level or age group] would understand
  • For the [insert company name]


5) Give a role to the chat bot

Assigning your ChatGPt or BizGPT models a role will help improve the quality of the output you receive. GPT is able to respond from a designated point of view, eg an accountant, a marketing executive or an expert in a particular industry. This allows you to have your prompt answered in a specific manner and generally provides your output to be delivered in a more specific format.


An example of this would be to tell the bot their exact role - eg - 'you are a marketing executive in the automotive industry, use your expertise when responding'.
