Zoom Guide for Echo Transcript

Using Zoom in Conjunction with EchoTranscript 


Create a Zoom Meeting using the regular process and click on the link to invite people to the meet. Copy the meeting link. 





Load your BizGPT instance, navigate to EchoTranscript (tools menu --> EchoTranscript) and select the Transcribe Live Meetings button on the right hand side of the screen. Once this has been selected you will be prompted to enter the meeting invite link which was previously copied from Zoom. Enter the link and click Transcribe now. 






You will be advised that a live transcript has been created in EchoTranscript. 






When the integration is ready, you will be advised that EchoTranscript is in the waiting room.







In your Zoom you will have a notification that EchoTranscript is asking to join. Admit EchoTranscript to the meeting. You will then need to allow recording for the integration to connect.






At the conclusion of the meeting, you will have a transcript ready to action in BizGPT, where you can generate summaries, extract the full transcript, or chat with your bots further using the meeting recording.








Troubleshooting Zoom & EchoTranscript Connections


1) The Host Was Not Present


Sometimes a bot joins a meeting but is unable to record the session as it was never asked for permission to do so. This means that the host was not present and unable to grant recording permissions.
In order for a bot to get recording permissions when the host is not present in the meeting, the creator of the meeting must be authenticated via the Zoom OAuth Integration



2) The Host's Local Recording Setting Is Disabled

The bot will fail to record where the host's global local recording setting is disabled. To check this status, login to your Zoom account in your browser of choice, the application will not work. Once you have signed in, select the settings option from the left hand side menu.






Next, select the recording tab.





Finally, ensure that the record to computer files or local recording setting is enabled.





3) The Host Has Disabled Permitting Participants to Record Locally

In this case, the host has their global local recording setting enabled, but they can't grant participants permission to record locally, which is needed for a bot to record. To resolve this, once again login to Zoom in your desktop browser and navigate to settings --> recording. Ensure the hosts can give meeting participants permission to record locally box is checked.





4) The Host Has Disabled Requesting Recording Permission Within The Current Call

Where the host has disabled the option allowing participants to request local recording within the call, the bot will not be able to record the meeting.

The resolution for this is to ssart your meeting (either in the application or web browser, then select the host tools option n followed by enabling the request to record to computer (or request local recording permission) option. The options vary according to the version of Zoom being used and whether it is application or browser based.




5) The Host Never Received the Recording Consent Popup

In rare instances, the meeting host may indicate they never received a recording consent popup to grant the bot permissions to record the meeting.

If the meeting host advises they were present in the meeting, however no participant is shown as the host, it is likely the user signed into the Zoom meeting from a different account that the one used to create the meeting. Ensure the account who created the meeting is logged in as the host before continuing to attempt to grant the bot permission to record.
