What Are BizBOTS?


Definition: Regular ChatBot
The term chatbots generally refers to pre-designed question and answer bots which often appear in the bottom right corner of websites. These are built by adding questions, answers and suggestions into a database to assist website users in gathering information.

Definition: BizBOT
BizBOTS do not require any programming of questions and answers. BizBOTS draw information directly from bots you build in your BizGPT account that you decide to share publicly. You can build as many BizBOTS as required, for example for each page on a website, referencing detailed and specific data for accurate results. Importantly, unlike bots on large chat engines like Bing or ChatGPT, BizBOTS do NOT reference information outside your catalogues.


BizBOTS Access & Costs

BizBOTS are included with Lite, Professional and Enterprise subscriptions only. As BizBOTS may be utilised many hundreds or even thousands of times each day, credits need to be purchased to use them.  A current BizGPT subscription is required to use BizBOTS.  To learn more about credits click here.


Powerful Unique Use Cases For Your Organisation

You can create as many BizBOTS as you require. You can add the same BizBOT to multiple pages on your website(s) or you can create multiple BizBOTS that are used for different purposes. Example use cases include:

  • Company and Team information BizBOT for your About Us page
  • Product information BizBOT for each product page
  • Terms and conditions BizBOT for your T&Cs page
  • Customer support BizBOTS for each service you offer
  • Industry knowledge base BizBOT for education about your industry


IMPORTANT: BizBOTS Data Is Used By The Public !!
All data used in a BizBOT is able to be queried by the public. Therefore it is important to ensure you only reference folders you wish to share. We strongly recommend you create unique folders in your Catalogue to add to your BizBOTS.

How To Build BizBOTS


Step 1: Once BizBOTS are enabled in your account, navigate to the top menu > Bots > Public



Step 2: Select the AI Model for the BizBOT. Higher models use more credits (therefore cost more per search) than lower models. To learn more about credits click here.



Step 3: Complete the standard bot information just like a regular bot including bot name, description, personality and the folder/s the BizBOT will search.  The name is for your reference only, you can change the name displayed on the bot.


Step 4: Scroll down and add the Domain your BizBOT will appear on.
Important: Do not add http:// or https:// or www, just the domain, such as yourwebsite.com.au




Step 5: Enter an email address (OPTIONAL) to have chat history emailed post chat. When a user engages with one of your BizBOTs you can have the system send a transcript of the conversation to a nominated email address. The email is sent 30 minutes after the conversation has no further activity and the system function to run this generates every 15 minutes. This means the longest delay from lack of activity to receiving an email would be 44 minutes.





Step 6: If you wish to enable lead capture for marketing or CRM options, check the lead capture box.



Once this has been checked, you will have three pop-ups: name, email and phone. Check the boxes against each field you'd like to capture in your BizBOT when it is interacted with on your website and then set if it is optional or required. 





Once these choices have been made, they will populate in the BizBOT on your website and if you have mandatory fields enabled, the end user must complete them before chatting with your bot. 





Step 7: If you wish to set a disclaimer for end users to see when engaging with the bot on your website you can set it in the below section. Please note this is limited to 100 characters.





Step 8: Complete the rest of the customisation options, including whether you wish to change text or background colours, and the sample on the right will show you the results that will appear on your website. Click SAVE at the bottom right before closing the editor. Please note: Adding a logo is mandatory.






How To Add BizBOTS To Your Website


 

Adding BizBOTS to your website pages
If you manage your own websites follow these instructions.  If you are unsure, please talk to your web developer for the option that works best for your website.  


Option 1 - iFrame Embed: To add BizBOTS as an iFrame simply copy the iFrame code provided in the BizBOT builder somewhere in the body tag of the page.

Option 2 - Pop Up Embed : To add BizBOTS as a pop pp paste the pop up embed code before the closing `head` tag on every page where you want the BizBOT to appear.



How To Review Lead Capture Data


 

Email Notifications
When a user engages with one of your BizBOTs you can have the system send a transcript of the conversation to a nominated email address. This is optional and must have the appropriate check box enabled to track. The email is sent 30 minutes after the conversation has no further activity and the system function to run this generates every 15 minutes. This means the longest delay from lack of activity to receiving an email would be 44 minutes. This transcript will include details of the user, or customer's inputs, the bots response/s, and if lead capture is enabled the name/email/phone number as applicable.

If you go to the BOTS menu header item, select PUBLIC and then select CONVERSATIONS against the appropriate bot.




You will see a list of conversations end users have had with your bot via the website. You can click on a conversation to get additional details.



These details include the end user's details, if you have enabled them in the BizBOT, the conversation, as well as dates and times so you can quickly react and engage further with any potential customers who have used your BizBOTs.
