What is ChatGPT by Open AI?

OpenAI's ChatGPT (Generative Pre-Trained Transformer) models have been trained to understand natural language and code. GPTs provide text outputs in response to their inputs. The inputs to GPTs are also referred to as "prompts". Designing a prompt is essentially how you “program” a GPT model, usually by providing instructions or some examples of how to successfully complete a task. GPTs can be used across a great variety of tasks including content generation, summarisation, conversation, creative writing, and more.

How BizGPT Handles Data with ChatGPT

There are two components to the data which interacts with ChatGPT.  


Files In Your Catalogue
The first data interaction is the files you upload into your catalogue. Your catalogue files are not shared externally and are trained on BizGPT's Secure Microsoft Azure data processing servers in Australia. "Training" files refers to breaking the files down into raw text so our AI engine can use it to create your responses. This ensures that no complete files are shared outside the secure BizGPT environment.

Chat Data
The second interaction between you and ChatGPT is when you chat. Your prompts and any context data (think of this as keywords) from your files are used by the ChatGPT AI engine to complete the process and provide your responses.  No data of any kind including prompt or context data shared with ChatGPT is ever included in their data set for other users to access. All BizGPT data is deleted from ChatGPT servers within 30 days.

Good and Bad Prompt Examples - Industry Specific Example

In this example you need to generate a report on the status of your industry for your manager.  Let’s say you work in the Financial Planning industry. 


Good search prompts - Well defined and targeted

Examples:

  • What are the current market trends in the Financial Planning Industry in Australia?  List each trend and its core elements in a table from most to least important.
  • What are the major threats to Financial Planners in Australia? Include compliance issues in your response. 
  • What are the emerging technologies in the Financial Planning Industry in Australia?  Outline each technology and how it is used on a day to day basis.
  • How has the COVID-19 pandemic impacted the Financial Planning Industry in Australia and what sectors have been impacted the most?  Present this in order of most to least affected. 
  • Who are the key players in the Financial Planning Industry in Australia? Outline the major point of difference for each one. Present the findings in a bullet point list.


Bad search prompts - Vague

Examples:

  • Status of in the Financial Planning Industry in Australia?
  • Financial Planning Industry news in Australia?
  • What is happening in the Financial Planning Industry in Australia?

Clearly Defining Your Prompts


Broad Start - Ask a broad prompt about the topic to gauge its level of knowledge. For example: "What is [the topic you want to discuss]?"


Dig Deeper - Based on 's response, ask follow-up prompts to further explore the topic. For example: "Can you explain [a specific aspect of the topic] in more detail?" or "How does [a specific aspect of the topic] relate to [another topic]?"


Defining terms - If you encounter a term or concept that you are unfamiliar with, ask to define it. For example: "What does [a term or concept] mean?"


Defining The Source - To ensure you are getting the most accurate and up-to-date information, you can ask for its source of information. For example: "Where did you get that information?"


Be Specific About Topics - If you have a specific prompt that you want answered, be as clear and specific as possible. For example: "Can you tell me the steps to [a specific process]?"


Make It Personal - If you want to get a more personalised response, provide with additional information about your situation. For example: "In my situation, [provide additional context]. How does that affect [the topic you want to discuss]?"

Set The Tone - Just like in a face to face conversation, tone is important. For Example: "Present the answer in a business like tone without hyperbole."

You are not an expert on the topic - Start from Step 1:

Ask shorter, simpler prompts to provide an understanding of your topic first, then move to step 2. 


You are an expert on the topic - You can start from Step 2:

The more you know about a topic the more you can ask initially which provides less search queries because you get a more in depth reply.  


Example : You need an HR policy for your company.

Step 1: 

Example 1:
Prompt (Bot - ChatGPT 4): What are the key elements in an HR policy for sexual harassment in (define area eg Australia / NSW / QLD) and what particular legislation do I need to be aware of relating to sexual harassment in the workplace in Australia.

Example 2: You now know what you need for your policy, so...

Prompt: Pretend you are a qualified HR consultant who has been engaged to create an HR policy for a small/medium/large company.

The policy pertains to sexual harassment in the workplace.  It should include Australian legislation including (provide legislation if known).  The policy should include;

- An introduction

- the purpose

- the definitions

- the policy itself

- responsibilities

- authorisation
